We are looking for a responsible and detail-oriented Board Assistant who will provide high-level administrative support to the members of the Board of Trustees, Board of Advisors, and NextGen council maintaining meeting schedules, creating agendas, taking meeting minutes, following up with the action plans, etc.

Job responsibilities

  • Be responsible for Board engagement and communication
  • Handle Board Committees set up and engagement
  • Meeting preparations, plans, and agendas
  • Prepare presentations, reports, demos to be used by executives; in close collaboration with the CEO and the Board Chair
  • Attending to Board Chair’s needs, both Board of Trustees and Board of Advisors
  • Annual Board Retreat planning and collective Board meeting planning
  • Administering member recruitment for all the boards and councils,
  • Handle the creation and maintenance of an up-to-date board planning calendar year in advance;
  • Assemble and distribute meeting agendas;
  • Attend and record board meetings, by keeping accurate minutes
  • Complete correspondence on behalf of the board;
  • Provide personal administrative support to the board members and executives per need;
  • Offer advanced administrative and executive support to Board Members
  • Maintain a full contact list of board members including board member appointment dates and term of appointments;
  • Maintain executive’s appointment schedule by planning and scheduling meetings, conferences, events;
  • Work closely with representatives of Finance and Operations and Communication Units and keep all the processes in a loop;
  • Handle confidential information with high diligence;
  • Other related duties as assigned.

Required qualifications

  • University degree in related fields
  • Proven 2+ experience as a Board Secretary or Executive Secretary
  • Proficiency in Google Docs/Sheets and Cloud Storage
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent English, Armenian, and Russian written and verbal communication skills
  • Strong organizational skills with the ability to multitask
  • Ability to maintain confidentiality and discretion with sensitive information
  • Must be a self-starter, able to work independently as well as work well in a team
  • Reporting and Presentation skills
  • Flexibility and ability to work under pressure and in rapidly changing environments
